getScholarSite ("we", "us", "our") operates getscholarsite.com. This policy describes how we collect, use, and protect your information.

1. Information We Collect

  • Account data: Name, email address, password (hashed), and institutional affiliation you provide at signup.
  • Profile data: Bio, publications, courses, awards, grants, lab members, and other academic content you add to your profile.
  • Imported data: Publications imported from BibTeX files you upload.
  • Analytics data: Page views, referrer URLs, and approximate country of your profile visitors. We do not use third-party tracking scripts.
  • Files: Profile photos, cover images, and CV documents you upload.

2. How We Use Your Information

  • To display your public academic profile to visitors.
  • To import and deduplicate your publications from uploaded BibTeX files.
  • To provide analytics about your profile traffic.
  • To send transactional emails (welcome, verification).
  • To manage custom domains on your behalf.

3. Data Sharing

We do not sell, rent, or share your personal data with third parties for marketing. We use the following services to operate getScholarSite:

  • Supabase: Database and authentication (hosted in the US).
  • Vercel: Hosting and domain management.
  • Resend: Transactional email delivery.

4. Data Retention

Your data is stored as long as your account is active. You may delete your account at any time from the Settings page, which permanently removes your profile and all associated data within 30 days.

5. Your Rights

  • Access & Export: You can export all your data in JSON or BibTeX format from the admin dashboard.
  • Correction: You can edit your profile at any time.
  • Deletion: You can delete your account from the Settings page.
  • Unpublish: You can unpublish your profile at any time, making it invisible to the public.

6. Security

We use HTTPS everywhere, hash passwords with bcrypt (via Supabase Auth), enforce row-level security on all database tables, and apply Content Security Policy headers. We do not store payment information.

7. Cookies

We use essential cookies only — for authentication sessions and admin OTP verification. We do not use advertising or tracking cookies.

8. Changes

We may update this policy from time to time. Material changes will be communicated via email to registered users.
